Offers Module

Module Overview

The Offers module is used for creating, managing, and tracking price quotes for customers. It enables creating professional offers with product or service items, managing prices and discounts, tracking customer confirmations, and automatically receiving inquiries via email. Offers can be exported to PDF, sent via email, and use advanced features like budgets with profit margins or online customer approval.

Access Rights

  • Level 0 - No access to offer group
  • Level 1 - View only: Can see all offers, cannot edit
  • Level 5 - Create and edit own: Can view all, create new, edit own offers
  • Level 10 - Full management: Can create, view, edit all offers
  • Level 15 - Administrator: Full rights including deletion

Getting Started

Initial Setup

  1. Go to Settings > Offers
  2. Click Create Group
  3. Enter group name and save
  4. Set user access rights
  5. Configure: supplier details, bank accounts, number series, default VAT rate

Creating First Offer

  1. Click Offers in main menu
  2. Select offer group
  3. Click Add Offer
  4. Fill in: Name, Customer (from CRM), Contact, Currency, Valid until
  5. Click Save
  6. Add items to offer

Adding Items

Free Item

Click Add Free Item Row. Fill in: Code, Name, Quantity, Unit, Price/unit, Discount %, VAT rate, Note.

From Products

Click Add from Products, search for product, select, enter quantity. Product details auto-fill from catalog.

From Warehouse

Select warehouse, search for item, select, enter quantity.

Price Management

  • Edit individual item prices by clicking price field
  • Set percentage discount per item
  • Bulk price adjustment: increase/decrease by %, set uniform discount
  • Set uniform VAT rate for all items

PDF Generation and Email

  1. Click Print & Email
  2. Set parameters: Language, with/without VAT, show notes, show images
  3. Click Generate PDF
  4. To send: check Send by Email, fill recipient, subject, message
  5. Click Send

Online Customer Approval

When enabled in group settings:

  1. Send offer via email
  2. Customer receives email with Approve/Reject buttons
  3. Customer views PDF, enters name, signs electronically
  4. System records: date, IP address, name, signature
  5. Sender receives notification of approval/rejection

Convert to Order

  1. Open offer detail
  2. Click Create Received Order
  3. Review transferred data (customer, items, prices)
  4. Fill additional order details
  5. Click Create

Budgets

Advanced feature for complex projects with hierarchical structure and profit margins:

  • Create groups within budget (e.g., Hardware, Software, Installation)
  • Set profit margin percentage per group
  • Add products with sub-items
  • Track purchase vs. selling prices
  • Export detailed budgets to Excel

Automatic Email Import

Configure email address to automatically receive and create offers from incoming emails. System creates new offer with email content and attachments.

Tips

  • Use text above/below items for terms and conditions
  • Add item notes for technical specifications
  • Link offers to CRM companies for tracking
  • Use custom number series for different offer types
  • Export to Excel for further analysis
