Projects Module
1. Access Rights
- Read - View projects only
- Write - Create and edit projects you have access to
- Delete - Delete projects and access deleted items list
Additionally, each project has individual access settings for who can view, edit, or manage notes.
2. Main Project Overview
Table showing all accessible projects with:
- Project ID, Name, Creator, Active status
- Start/End dates (auto-calculated from parts)
- Completion percentage (auto-calculated)
- Custom fields (if configured)
Filter between Active only or All projects. Supports sorting, search, and Excel export.
3. Creating a Project
Basic Information
- Name - Required, descriptive project title
- Active - Whether project shows in default view
- Description - Detailed purpose and goals
- Attachments - Up to 60 files, 100MB each
- Day calculation - Every day or Working days only
Access Rights
- Can view - Everyone with module access, specific positions, or specific users
- Can edit - Same options as above
- Can edit notes - Who can modify project notes
Team Members Mode
Special mode for external collaboration - send email invitations with secure access links.
4. Project Detail
Gantt Chart
Visual timeline showing:
- All project parts with hierarchy
- Leaders, duration, completion %
- Start/end dates
- Dependencies (arrows between parts)
- Color coding by status
Views: Day, Week, Month. Click on any row for part details.
Notes and Documents
Discussion section with filtered note types, attachments, and email notification options.
5. Project Parts
Two Types
- Group - Organizes parts into logical sections (dates/% auto-calculated from children)
- Item - Specific task with own deadline, leader, and completion %
Part Fields
- Name - Descriptive title (required)
- Type - Group or Item
- Leader - Responsible user (optional email notification)
- Parent group - Hierarchical organization
- Depends on - Sets start date after selected part ends
Item-specific Fields
- Chart color - Visual distinction in Gantt
- Completion % - Current progress
- Duration - Start and end dates
- Shift dependents - Auto-adjust connected parts when dates change
- Description - Detailed requirements
- Attachments - Supporting files
6. Gantt Chart Details
Left Section (Table)
Part names (hierarchical), Leaders, Duration (days), % Complete, Start/End dates
Right Section (Timeline)
Colored bars representing duration. Arrows show dependencies between parts.
Color Conventions (Example)
- Blue - Analysis and planning
- Green - Implementation
- Yellow - Testing and QA
- Red - Critical milestones
- Purple - Documentation
7. Notes System
Adding Notes
- Type - Each type has color, icon, and access rights
- Content - Rich text with formatting
- Attachments - Files or create new OnlyOffice documents
- Email to all - Notify all project members

8. Project Copying
Create new project from existing template:
- Copy all project parts with hierarchy
- Set new start date - system recalculates all dates maintaining intervals
- Completion % reset to zero
- Notes not copied

Tasks Module
Link tasks to project parts. View task list in part details. Create tasks directly from projects.
HelpDesk Module
Link tickets to project parts. View ticket statistics in part details.
10. Custom Fields
Administrator-configured fields for projects and parts:
- Checkbox, Number, Decimal, Date
- Text (single/multi line), Dropdown list
- User selection (single/multiple)
- Company from CRM (single/multiple)
11. Deleted Projects
- Projects move to trash when deleted
- View deletion history (date, user, IP)
- Restore from trash
- Permanent delete (irreversible)
12. Tips and Best Practices
- Create logical hierarchy with groups (Preparation, Implementation, Testing, Closure)
- Keep parts to 1-2 weeks maximum duration
- Use clear, descriptive names
- Use colors consistently by activity type
- Update completion % weekly
- Document decisions in notes
- Add 20% buffer for regular tasks, 50% for risky ones
- Hold regular project reviews
13. FAQ
- How to detect delays? - Check parts past due date with <100% completion
- Part without group? - Yes, leave Parent group empty
- Change project structure? - Edit parts, use Shift dependents for date cascading
- Multiple projects? - Each project is independent, link via custom fields if needed
