eSignatures Module

Overview

The eSignatures module enables creating, sending, and managing documents for electronic signatures. The system provides a secure signing process with SMS verification, digital signature canvas, and automatic PDF integration.

Main Features

  • Create documents for signature with attachments (primarily PDF files)
  • Send documents to recipients via email with unique signing links
  • SMS verification of signer identity using 6-digit code
  • Digital signature canvas for drawing signatures with mouse or touch
  • Automatic signature page addition to PDF documents
  • Merge all signatures and documents into one final PDF
  • Optional QR code for document authenticity verification
  • Complete history of all changes and signatures

Creating Documents

  1. Select document type from tabs
  2. Click + Create new document
  3. Enter document name and description
  4. Upload PDF files (signature pages will be added automatically)
  5. Click Save

Sending for Signature

  1. Open document detail
  2. Click Send for signature
  3. Select recipient (from eIntranet users) or enter email/phone manually
  4. Phone must be in format +420XXXXXXXXX for SMS verification
  5. Set validity period (default 7 days)
  6. Choose to send immediately or schedule for later
  7. Click Send

Signing Process (for Recipients)

  1. Open link from email
  2. Receive 6-digit SMS verification code automatically
  3. Download and review attached documents
  4. Enter full name in the name field
  5. Draw signature on canvas using mouse or touch
  6. Enter SMS code
  7. Click Sign button (activates when all fields complete)

Signature Page Contents

Each signed PDF gets a signature page with:

  • Signers full name
  • Date and time of signature
  • IP address of signer
  • Signature image

Generating Final PDF

  1. After receiving all signatures, open document detail
  2. Click Generate final PDF
  3. System merges all PDFs and signature pages
  4. QR code added at end if enabled for document type
  5. Final PDF downloads automatically and is saved for later access

Document Types Setup

Administrators can create document types with:

  • Custom name and internal description
  • Default validity period
  • QR code verification option
  • Access rights per position/user

History and Audit

Complete audit trail recording:

  • Document creation
  • Each send for signature
  • Each completed signature with IP address
  • Final PDF generation
