Warehouse Management

Overview

The Warehouse Management module provides a comprehensive system for managing inventory, receipts and issues of materials, reservations, and stocktaking. It allows recording stock items with detailed information, tracking goods movements, managing multiple warehouses simultaneously, and maintaining an overview of current stock levels. The system supports serial number tracking, product variants, prices in different currencies, and provides advanced import/export capabilities.

Prerequisites

  • User rights to Warehouse Management module
  • Permission level for specific warehouse: 0 (no access), 1 (view only), 5 (view and stock in/out), 10 (create cards and receipts/issues), 15 (full administration including settings)
  • Import requires permission level at least 10
  • Bulk price actions require permission level above 10
  • Active company with configured warehouse
  • CRM module recommended for supplier/customer linking

Getting Started

Accessing the Module

  1. Select Warehouse Management from main menu
  2. System displays main hub with six sections: Items, Receipts, Issues, Reservations, Inventories, and Movement Search
  3. Switch between warehouses using selection at top if you have multi-warehouse access

Warehouse Configuration

  1. Click Warehouse Settings icon at top of hub
  2. Set receipt and issue numbering format (prefix, year, suffix, digits)
  3. Define default VAT rate for new items
  4. Configure item types and card groups per your organization needs
  5. Save settings

Creating First Stock Card

  1. Select Items section from hub
  2. Click Add new item
  3. Fill in required fields: Item code, Name, Unit of measure
  4. Add other information as needed (EAN, type, group, weight, dimensions)
  5. Set purchase and sale prices
  6. Save item

Stock Items (Cards)

Basic Item Information

  • Item code: Unique identifier (required)
  • Name: Descriptive name (required)
  • Alternative code: Additional search code
  • EAN: Product barcode in EAN-13 format
  • Package EAN: EAN code for larger packages
  • PLU: Numeric code for POS systems
  • VAT rate: Tax rate percentage
  • Active: Flag for active/used items
  • Type: Item categorization (7 types available)
  • Card group: Additional categorization (7 groups)
  • Unit: Base storage unit (pcs, kg, m, l, etc.)

Physical Properties

  • Width, Height, Depth: Dimensions in centimeters
  • Weight: Weight in kilograms
  • Customs code: Code for international trade

Stock Levels and Limits

  • Total in stock: Current total (auto-calculated)
  • Available: Items available for issue (total minus reservations)
  • Reserved: Currently reserved items
  • Minimum quantity: Alert threshold
  • Maximum quantity: Recommended maximum

Receipts and Issues

Creating Receipt

  1. Go to Receipts section
  2. Click Create receipt
  3. Select supplier from CRM if applicable
  4. Add items to receipt
  5. Enter quantities and prices
  6. Confirm receipt

Creating Issue

  1. Go to Issues section
  2. Click Create issue
  3. Select customer from CRM if applicable
  4. Add items to issue
  5. Enter quantities
  6. Confirm issue

Reservations

Reserve stock for future orders. Reservations reduce available quantity while keeping total stock unchanged.

Inventories (Stocktaking)

Perform regular stocktaking to verify actual vs. system quantities. Create inventory document, count items, and post differences.

Tips

  • Use barcode scanner for faster item entry
  • Set minimum quantities to get low stock alerts
  • Link items to CRM suppliers for easy ordering
  • Use serial number tracking for valuable items
  • Perform regular inventories to maintain accuracy
